What to Book First When Planning a Trip (And What Can Wait)
Planning a trip can feel like playing a game of Tetris: flights, hotels, transfers, activities, dining… all moving pieces that need to fit together just right. And if you’re anything like most travelers, you’ve probably wondered: “What should I book first so I don’t mess anything up?”

Let me take the stress out of it. As a travel advisor, I build trip timelines for clients every day. Here's the order I recommend booking your travel in—and what you can safely hold off on without risking sold-out frustration or extra fees.
Step 1: Lock In the Big Picture (Flights + Dates)
Flights are the foundation of most trips. Once you know your travel window, the first thing you should do is check airfare. Flight prices are dynamic and often rise as you get closer to the travel date, especially during peak seasons or holidays.
π‘ My tip: Even if you’re not ready to book, set up flight alerts or work with a travel advisor (ππΌ hi!) to monitor pricing and ideal routes. Once flights are booked, everything else can be built around those dates.
Step 2: Book Accommodations Next (Hotel, Airbnb, or Resort)
Once you’ve locked in your arrival and departure dates, move quickly to secure lodging. The best rooms and rates usually go first—especially family suites, boutique hotels, and resort packages with perks.

Step 3: Add Travel Protection (Seriously)
I always recommend purchasing travel insurance or protection once you’ve booked major expenses like flights and hotels. Life happens—and the peace of mind is often worth the small cost. Some plans even let you cancel for any reason or cover medical expenses abroad.

Step 4: Secure Transportation (Transfers, Trains, or Car Rentals)
Once your flights and hotel are confirmed, start thinking about how you’ll get from point A to B:
- Do you need an airport transfer or shuttle?
- Are you renting a car (and is it high-demand season)?
- Is train travel part of your trip?
These services often have limited availability during busy times (especially at small airports or remote destinations), so don’t leave them to the last minute.
Step 5: Book Activities + Dining (Start with Must-Do Items)
This is where things get fun—but also easy to procrastinate. Start by reserving anything that:
- Books out early (Disney dining, Michelin-starred restaurants, guided tours)
- Is a “must-do” on your list (like a sunset cruise, spa day, or show)
- Only runs certain days of the week
Don’t worry about planning every single hour—just secure the experiences you’d be devastated to miss.
Step 6: Final Touches (Outfits, Currency, Packing List, Etc.)
Once the logistics are booked, you can shift to the fun stuff: trip outfits, activity-specific gear, local currency, dinner outfit planning, and prepping your carry-on. This is the “pre-trip excitement” phase, and it’s my favorite part for clients to enjoy without scrambling.
What Can Wait (or Be Handled On the Trip)
- Casual meals or walk-in restaurants
- Shopping or souvenir stops
- Public transport passes (often easier to get on arrival)
- Packing… but don’t wait too long π
